Administrator Guide: Managing Users 

Managing user access 

  • Open Ishtar365 

  • Test Environment: https://portal.uat.ishtar365.com/ 

  • Production Environment: https://portal.ishtar365.com/ 
     

Navigate to the External Portal 

  • Open the Ishtar.Portal application. 

  • Click on the ‘Users’ tab. 

  • Select the relevant client (e.g., Company Name). 

  • Copy the ‘Invite Link’.

Inviting users 

  • Send the invitation link via email, Teams, or other communication channels. 

  • Include the user guide for account creation. 
     

Approving user requests 

  • When a new user registers, you will receive a notification email. 

  • If email notifications are unavailable, regularly check the user management page for new requests. 

  • New requests appear in the request column.

  • Click ‘Accept’ to review the user profile. 

  • Ensure that the Role field is set to ‘User’ (default system setting).

Linking users to Ishtar.List entities 

When you have a form in Ishtar.List with the information of the individuals that sign up to the external portal, we can link the Ishtar.List entity to the external portal user with ‘Link Ishtar.List entity’.  

  • Click on the ‘+’ next to ‘Link Ishtar.List entity’

  • Search on the ‘Name’ field across all forms and select the correct entity

Managing user permissions 

  • The admin can decide if the user can join Community Groups on it’s own 

  • If the checkbox is selected (default): the user can decide on it’s own which Community Groups they want to join 

  • If the checkbox is deselected: the user cannot join Community Groups by itself, the admin decides the Community Groups for the user (see below).

Assigning users to Community Groups 

  • Click ‘Manage Community Groups’ at the bottom of the profile page. 

  • If the external user is linked to a Ishtar.List entity AND the linked entity itself has the ‘Community Groups’ dataproperty on the form: 

  • The selected groups will automatically be selected for the external user 

  • The admin can (de)assign the user to the chosen Community Groups.
